1. Whose information we handle
- Our clients (the businesses that sign up): name, business name, email, phone, billing details (processed by our payment provider; we don't store full card numbers), and dashboard login.
- Our clients' customers (homeowners): the name and phone number our client enters after a job, plus what happens on the follow-up call and texts. Clients confirm they have permission to share this with us. We handle this information on our client's behalf and only to provide the follow-up service.
- Website visitors and people who contact us: what you send us by email or phone, and basic technical data (such as IP address and browser) kept by our web host for security.
2. AI voice calls, recordings and transcripts
Follow-up calls are made by an automated AI voice agent, not a live person, and it says so at the start of the call. Calls may be recorded and transcribed for quality, to tell our client how the job went, and to flag problems. The customer is told at the start of the call. Our client sees a summary and any feedback in their dashboard. You can ask not to be recorded or not to be called again at any time.
3. Text messages
We text customers their job follow-up and the business's Google review link, and alert our clients by text. Reply STOP to opt out, HELP for help. We do not sell, rent or share mobile numbers or text-message opt-in/consent information with third parties or affiliates for their marketing or promotional purposes. Details are in our Text Messaging Terms.
4. Why we use information
- To place the follow-up call, send the review link, and alert our client to problems.
- To show our clients their results, reports and graphs.
- To bill clients, provide support, keep the service secure, and meet legal obligations.
We do not sell personal information and we do not use homeowners' information for our own marketing.
5. Service providers (data processors)
We use trusted providers who process data only to run our service, under contract:
- Retell AI – AI voice calls, call recording and transcription.
- Telephone and SMS carriers / messaging providers – to place calls and deliver texts.
- Paddle.com – our reseller and Merchant of Record; processes payments, invoices and sales taxes.
- Cloud hosting, database and email providers (including Cloudflare for this website) – to host the dashboard and website and send email alerts.
- AI model providers – to power the voice agent's conversation and summaries.
Some providers are located in or store data in the United States or other countries, so information may be subject to the laws of those countries.
6. U.S. customers and users
We serve businesses in Canada and the United States. For U.S. homeowners, calls and texts are made only to customers of our client about work already done, with our client's confirmation of consent, and we honour all opt-out requests immediately. U.S. residents may ask to access or delete their information using the contact below, and we will respond as required by applicable state law.
7. How long we keep it
We keep homeowner contact details, call recordings and transcripts for as long as our client's account is active and up to 12 months after, unless the client or homeowner asks us to delete them sooner or the law requires longer. Billing records are kept as tax law requires.
8. Security
We use encrypted connections (HTTPS), access controls and reputable providers. No system is perfectly secure; we will notify affected people and the Privacy Commissioner of Canada about breaches as required by law.
9. Your rights and choices
You can ask to see, correct or delete your personal information, withdraw consent, or stop calls and texts at any time. Email dave@myreviewbutler.com. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
10. Changes and contact
We'll post updates here with a new date.
